Energy cost optimization: gas price renegotiation and invoice verification

Context and objective

Efficient management of energy costs is a determining factor for the competitiveness of companies, particularly in the hospitality sector, where gas consumption represents a significant expense item.

The aim of this intervention was twofold:

  • Renegotiate the purchase price of gas, comparing different offers to find the most convenient solution.
  • Analyze invoices for the last 12 months, checking for errors in invoicing and excise duty application criteria.

This double action has allowed us to reduce energy costs and obtain a significant refund for improperly charged charges.

The intervention

The activity developed in two main phases:

1

Analysis and optimization of the supply contract

The contractual conditions of the existing supplier were examined and compared with alternative offers on the market.
Thanks to this evaluation, it was possible to negotiate a new supply contract with a price 14% lower than the previous proposal of the supplier.

2

Invoice verification and recovery of improper costs

The analysis of the invoices highlighted an error in the application of excise duties.
Although the activity fell into the category of “hotels and other accommodation facilities”, with the right to the application of industrial excise duties, more onerous civil excise duties had been erroneously applied.
Once the anomaly was identified, the supplier was asked to correct the error and issue a credit note of approximately €10,000/year, returning the sums unduly invoiced.

Results and benefits

The intervention led to two concrete and measurable benefits:

Save 14% on your new contract

Lower gas cost than the initially proposed rate.

Recovery of approximately €10,000/year

Refund obtained thanks to the correction of the excise duty error.

Economic and operational impact

Optimization of energy costs

Reduction of annual gas expenses, with positive effects on the company’s profitability.

Greater transparency in supply management

Elimination of improper charges and better control of invoices.

Regulatory compliance

Correct application of excise duties, avoiding further erroneous charges in the future.

This case demonstrates the importance of careful monitoring of energy supplies, both during the contractual phase and when checking invoices. Thanks to an in-depth analysis , it was possible to identify anopportunity for significant savings and to correct a critical issue that would have resulted in an unjustified additional cost for the company.
